My Responsibilities to My Clients

  • Look up all comparable currently listed properties in RMLSTM.
  • Look up all comparable Sold Properties in the last year for in RMLSTM.
  • Look up all comparable Sold Properties in the county tax records.
  • Request a copy of the “Trio” (tax data, deed, plat map) from a title insurance company.
  • Verify who is in title to the property.
  • Verify legal names of owners.
  • Verify address of property.
  • Verify the type of ownership the seller has in the property.
  • Verify lot size, lot dimensions and visible easements.
  • Verify property use and zoning.
  • Verify legal description of the property.
  • Check property details from tax data sheet:
    • Square footage of the house.
    • Number of bedrooms.
    • Year built. (also check inside of toilet tank lid..seriously!)
    • County valuation of property.
    • Number of bathrooms.
    • Type of construction.
    • Type of heating system.
    • Previous sales on property.
    • Original loan amount on purchase.
  • Confirm public school attendance area.
  • Prepare Listing Presentation based on above information.
  • Present Listing Presentation to seller and clarify any problems with the information.
  • Provide seller with copy (or web access to) Oregon Buyer’s Advisory.
  • Provide seller with all forms to be used in the listing process.
  • Fill out all forms with seller and secure seller’s signature.
  • Gather a packet of all forms that might be used in a sale of the property.
  • Give sale forms packet to seller and review with seller.
  • Obtain copy of appraisal from seller’s purchase to verify square footage.
  • Measure interior room sizes.
  • Fill out RMLSTM data forms with seller and verify the data personally.
  • Explain listing contract with seller and have seller sign contract.
  • Obtain current mortgage information including current loan number and balances.
  • Obtain Homeowner Association information including by-laws, fees, etc.
  • Research utility bills and generate report of average usage for past 12 months.
  • Ask about underground oil tank. (Then look for an old vent pipe)
  • Verify sewer hookup or location of septic tank.
  • Give Seller Property Disclosure to seller fill out.
  • Prepare detailed list of property features.
  • Prepare detailed list needed repairs and features.
  • Prepare list of needed repairs and maintenance items.
  • Discuss “Staging” the property with the seller and make property specific recommendations.
  • Explain benefits of a Home Owner Warranty.
  • Complete Home Owner Warranty Application with seller.
  • Obtain extra key from seller for lockbox.
  • Counsel seller regarding valuables, guns, and medication.
  • Take multiple photos or property.
  • Arrange for installation of yard sign
  • Install lockbox on property.
  • Obtain financing options for the listing from lenders.
  • Turn in the Listing Agreement and all associated forms.
  • Enter listing in RMLSTM
  • Email digital photos to RMLSTM.
  • Email extra digital photos to company website.
  • Place property on office and RMLSTM
  • Prepare mailing and contact list.
  • Generate mailing and contact list.
  • Prepare flyer on property for flyer-box on signpost.
  • Deliver flyers to flyer-box and leave a supply with sellers to place on counter or put in flyer box.
  • Design Flyer for distribution to agents’ mailboxes.
  • Place order with flyer service for agent flyer distribution.
  • Design “Just Listed” postcards.
  • Print and Mail “Just Listed” postcards.
  • Print and Mail “Just Listed” postcards.
  • Design five ads for newspaper advertising.
  • Place advertising in Internet sites such as Craiglist, Zillow, Truilia, etc.
  • Review listing in Internet sites for accuracy.
  • Place copies of Seller Property Disclosure in home.
  • Design a Home Book for the property and place in home.
  • Run CMA daily for new active, pending, and sold properties in the area.
  • Contact seller regarding showings on property.
  • Communicate the feedback to seller.
  • Call/email seller three times per week to discuss marketing and pricing.
  • Have seller sign any changes changes to RMLSTM listing
  • Make changes to RMLSTM
  • Receive and review all offers submitted by buyers or buyer’s agent.
  • Evaluate each offer and prepare a “Seller’s Net Sheet” on each other.
  • Counsel sellers on offers.
  • Contact Buyer’s agents to discuss buyer’s qualification and terms of offer.
  • Deliver by fax or email the Seller’s Property Disclosure to buyer’s agents.
  • Obtain pre-qualification letter from lender if not supplied.
  • Negotiate all offers as the seller’s agent.
  • Prepare and deliver any acceptances or counteroffers to buyer’s agent.
  • Deliver fully signed documents to seller.
  • Send copies of sale agreement to lender.
  • Change status in RMLSTM to “Pending.”
  • Open escrow by sending all documents to escrow.
  • Send Broker’s Instruction and Notice of Demand for Commissions to Escrow.
  • Make a note of the date any earnest money notes are due.
  • Notify selling agent the day BEFORE the deadline of note redemption.
  • Turn in all sale documents to the office.
  • Verify with buyer’s agent that inspection has been ordered.
  • Coordinate with seller and buyer’s agent the home inspection details.
  • Confirm timely deposit of earnest money.
  • Contact lender to confirm loan process is on track.
  • Request copy of Home Inspection Report from buyer’s agent.
  • Negotiate on seller’s behalf any request for repairs from buyer.
  • Provide seller with list of contractors to complete repairs.
  • Verify that negotiated repairs has been completed.
  • Coordinate with seller and appraiser for appraisal.
  • Provide comparable sales for appraiser.
  • Verify with lender the results of the appraisal.
  • Review Preliminary Title Report with seller.
  • Request seller’s closing figures from escrow officer and review with seller.
  • Make sure Home Owner Warranty payment request is submitted to escrow.
  • Review all seller’s closing documents for errors.
  • Coordinate seller document signing with escrow officer.
  • Attend closing with seller.
  • Make sure that seller has provided all keys/garage door opener/Mail Box to buyer’s agent.
  • Change RMLSTMstatus to  “Sold.”
